Botswana Accountancy College Students Fun Day

Division of labour

It is worth mentioning that division of labour as defined by Kumar (2012) is the allocation of duties and tasks to individuals to be done at the same time. Botswana Accountancy College Hospitality class applied the concept of division of labour from planning process for the students’ fun day event held in the school grounds.

Division of labour is possible only if the whole team work together as each team member needs one another (Kumar, 2012).The class was divided into management teams from kitchen, Marshalls, service and from those individuals had specific tasks to perform as Bowdin et al (2012) alluded on the importance of each team member knowing what to do and when to do it. The learner was in the service department and was tasked with making sure all setups   are done on time at the event venue.

Kumar (2012) shown the advantages on division of labour that the right person is always in the right place and it allows for work to be done well as each person knows their tasks. Though Singh (2012) has shown some drawbacks on division of labour that it may result in lack of responsibility due to the individual saying ‘I have my task I cannot perform any other besides’.


Moreover, the event was a success due to division of labour which is an important thing to do in events when everyone is organised there should be no reason why the event should fail (Murphy and Becker, 1994).

Theme and Event design

Bowdin et al (2012) is of the view that the biggest and important resolution to an event is coming up with a theme. Lewis (2008) acknowledged that a theme especially in weddings it gives you direction of how the wedding will looks like. At the Indian wedding theme was considered. Work by Jones (2002) has shown that the design of an event has replaced location which was a factor in hospitality.

Lewis has continued to indicate that many themes exist but for the wedding it was a traditional Indian wedding.  At the Indian wedding event   the title theme was gold and silver. Mair and Whitford(2013) has shown that celebrations mark an important step in a person’s life which is why at the wedding the centrepieces, colours, and decorations was chosen by the groom/bride. In addition Mair and Whitford stresses that nowadays the main impact of events is to educate local communities on the culture as the Indian wedding is something not usual to the Batswana. 

The whole team managed to work well with the theme and design of the event. The whole outcome was achieved with the learner having been given the opportunity to plan and implement the wedding according to customer requirements.

CHIBUKU ROAD TO FAME

Performers

The review focuses on how performers impact the atmosphere of the Chibuku Road To Fame event held at the national stadium for talent search. According to Cambridge dictionaries online (2015) performer is any individual or group who has been given the power to keep the guest entertained through music in an event. The main tasks of event managers are to ensure that correct selection of performers looking at the target audiences is accounted for (Event management guide, n.d).

 Work by has recognised the importance of having confirmations of performers in writing during the planning process (preparing your event, n.d). This helped as the confirmed performers during the planning process turned up. At this event the performers were popular known artists like Slizer and Dj’s so that they can motivate the participants to become and have self-esteem to work hard. Pride, Hughes and Kapoor (2012) have described this level as esteem needs.  Bowdin et al (2012) acknowledges that performers need to be availed to rehearsal facilities, correct stage for their performance which the learner participated in. In all essence the artists were treated well and managed to keep the audience well entertained during the event.


In addition, Arina and Aundrei (2012) say that having an event the local community tend to enjoy form of entertainment and it helps the host city (Francistown) to build an image.

Giving back to Gerald Estates Community

Donations

Wikipedia (2015) has defined a donation as a way of giving back to the needy it could be used or new goods, money or food.

Spiegelmen(2014) has acknowledged that giving back to the community is in three ways namely: financial, in- kind or  for  offering your services freely. An event of giving back to (Clarke and Chen,2007) Gerald estates community took place in order to help a young school going girl.   The event made use of money donations in which papers were circulating around school asking for money donations and boxes for clothes. The client was also given new clothes bought from donations. The learner participated in getting money donations.

Further work by Spieglmen(2014) has emphasized that when doing money donations the receipts should be kept and presented to the donors to see how much was spent. There must be a record of collected monies (Harbaugh, 1998). The leader of the event managed to give back feedback to the hospitality students though not all donors got to hear on how their donations were used.

The whole outcome was achieved much emphasis should be on giving all the concerned donors feedback on how the donations were spent.

VALENTINE’S DINNER

Time Management

Triandris (1974) cited in Clarke and Chen (2007) has stressed the point that how individuals view time is regarded as a difficult way of how they live. At the Valentine’s Day event held at BAC Barclays Plaza time management was an issue of apprehension.  Cottrell (2010) has a view that time management only happens if people know what they are supposed to do at what time. The parties here were student representative council and hospitality students.

Work by Soucie(1986) cited in  Hellsten(2012) has shown that in order for different individuals to make use of time the affected person should be clear of what they want to do. The planning process was done well on time but the day of the event preparations were delayed. For example table set up, due to interference from clients.  Additionally, Kelly (2002) cited in Hellsten (2012) is of the view that proper calculation of next activity must be forecasted. The delayed radio system connections and late arrivals from the guests affected the event though on the side of food and set ups were on time.




 Although, at the end the whole outcome was achieved (see above pictures) as Bardi (2011) emphasises that time management is a skill that allows an individual to do their tasks at certain times hence why in future too much interferences should be avoided.

BE MOBILE 2015 FRANCISTOWN MARATHON

SPONSORSHIPS

Pettinger (2007) has sighted that there are many methods used by organizations to make the public aware of their products and one way of doing this is through sponsorships of events. The writer focused on the be mobile marathon event for local and international athletes.  The sponsors were Be mobile , Coca Cola Company, The Voice and many others.

Sponsoring an event involves having brand ambassador who sell their product to the clients in which the learner was a volunteer to the Coca-Cola brand as shown by below picture to the athletes. The volunteers offered Coca-Cola drinks, bottled water for free to all attendees. This is supported by Clarke and Chen (2007) and Bowdin et al (2002) that being a sponsor could be for social causes like charity. The marathon all proceeds were for charity. Similarly, Meenaghan(1983) cited in Kim (2014) agrees with the view of offering free drinks as his definition implied that sponsorship is offering any kind of assistance it could be money or in kind. Arguably Kim (2014) stresses the point that sponsors need to evaluate an event before sponsoring it.

 Bowdin, Allen, O’Toole, Harris and McDonnell (2012) allude that for an event to be successful all team members must
work together from planning to execution. All this paid off as the event managers and the volunteers coordinated well.
